The Ultimate Wedding Planning Checklist to Keep You on Track

Planning a wedding is a lot. There is no version of this that is not a lot.

But the couples who enjoy the process rather than just endure it tend to have one thing in common: they know what needs to happen and when. Everything else can flex. The order of operations does not.

This checklist is organised by phase. Work through each one in sequence and you will never have that sinking feeling of realising you forgot something important.

As Soon As You Get Engaged

Before anything else gets decided, a few foundations need to be in place. These are the decisions that every other decision sits on top of.

Vision and Budget

  • Have an honest conversation about the overall budget before booking anything
  • Agree on rough guest numbers, this determines venue size and almost everything else
  • Talk about the kind of day you both want: formal or relaxed, big or intimate, local or destination
  • Decide who, if anyone, is contributing financially and clarify any expectations attached to that

The Big Picture

  • Choose a rough season or time of year
  • Start a shared folder or planning tool where all documents, contracts, and inspiration can live
  • Decide whether you will hire a wedding planner or coordinator
  • Begin a general inspiration board, not to decide yet, just to see what keeps appearing

12 Months Out

This is the phase where the big decisions get made. Venues book up earliest. Do not delay the things on this list.

Venue

  • Research and visit potential ceremony and reception venues
  • Confirm the venue can accommodate your guest count
  • Book the ceremony venue and sign the contract
  • Book the reception venue or confirm both can happen at the same location
  • Check what is and is not included in the venue hire fee

Key Vendors

  • Book the photographer, this is the vendor most likely to be unavailable if you wait
  • Book the videographer if you want one
  • Book the band or DJ
  • Begin researching and meeting with caterers if the venue does not include catering

The Guest List

  • Finalise a working guest list with full names and contact details
  • Decide on your wedding party and ask them
  • Send save the dates, especially important if guests need to travel

The Dress

  • Begin wedding dress research and book bridal appointments
  • Purchase the dress if found, alterations take months
  • Note the estimated delivery and first fitting dates

9 Months Out

The structural decisions are made. Now the details begin taking shape.

Ceremony

  • Book the officiant and confirm they are licensed for the type of ceremony you want
  • Begin thinking about the ceremony structure: readings, vows, music, rituals
  • If religious, begin any required pre-marriage preparation

Florals and Décor

  • Research florists and book one, sharing your inspiration and rough budget
  • Begin thinking about overall décor direction: colours, materials, atmosphere
  • Confirm what décor the venue allows and what they restrict

Catering and Cake

  • Book the caterer if not included with the venue
  • Begin cake tastings and book a cake designer
  • Draft a rough menu direction and any dietary requirements you already know about

Honeymoon

  • Research honeymoon destinations and begin booking if travel is involved
  • Check passport expiry dates for both of you
  • Book flights and accommodation, especially for peak travel periods

6 Months Out

Six months out is where the planning shifts from big-picture to operational. A lot of the creative decisions happen here.

Stationery

  • Design and order wedding invitations
  • Finalise the wording and all details before printing, check twice
  • Send invitations, include RSVP deadline four to six weeks before the wedding
  • Set up a wedding website if you want one

Beauty

  • Book hair and makeup artists and schedule trials
  • Book trials to happen when you have the dress, veil, and accessories sorted
  • Research and book any pre-wedding treatments: facials, skin prep, etc.

Outfits and Accessories

  • Shop for bridesmaids dresses or outfits if applicable
  • Source wedding shoes and begin wearing them in the house
  • Research and purchase jewellery and accessories
  • Confirm groomswear: purchase or hire suits, ensure fittings are booked

Music

  • Confirm ceremony music: processional, signing, recessional
  • Build a do-not-play list for the DJ or band
  • Choose and confirm the first dance song

3 Months Out

The planning is mostly done. This phase is about confirming and tightening.

Confirmations

  • Reconfirm all vendors in writing: date, time, location, and what is agreed
  • Chase outstanding RSVPs and follow up with non-responders
  • Finalise guest numbers and communicate them to the caterer and venue
  • Confirm dietary requirements across the full guest list

Logistics

  • Plan guest transport if needed: shuttles, parking, accommodation recommendations
  • Book accommodation for the wedding night
  • Draft the wedding day timeline and share it with all key vendors
  • Assign a point of contact for vendors on the day, ideally not the bride or groom

Ceremony Details

  • Write or finalise the vows
  • Confirm readings and who is delivering them
  • Arrange the ceremony rehearsal

Gifts and Favours

  • Set up a gift registry if you want one
  • Organise favours if you are having them
  • Plan gifts for the wedding party

1 Month Out

The last month is about the final details and making sure nothing has been missed.

Final Fittings and Beauty

  • Final dress fitting with all accessories, shoes, and undergarments
  • Confirm hair and makeup trial results and communicate any changes
  • Confirm the morning of the wedding schedule for the beauty team

Documents and Admin

  • Obtain and sign the marriage licence in line with local requirements
  • Confirm name change plans post-wedding if applicable
  • Prepare any cash payments or vendor tips in envelopes

Day-Of Logistics

  • Create a final vendor contact list with phone numbers
  • Pack an emergency kit: safety pins, stain remover, pain relief, blister plasters, breath mints
  • Confirm who is responsible for the rings on the day
  • Delegate all day-of questions to the coordinator, planner, or a trusted person

The Week Before

  • Reconfirm the arrival times with all vendors one final time
  • Deliver anything to the venue that needs to be there in advance
  • Pack for the honeymoon if you are leaving soon after
  • Give the final guest list and seating plan to the venue
  • Have the rehearsal dinner and be fully present for it
  • Go to sleep at a reasonable hour the night before
  • Eat breakfast on the morning of your wedding

That last one is on the list for a reason. It belongs here as much as any contract or confirmation. The bride who is fed, rested, and present on her wedding day is the bride who actually experiences it.
